At Qogita, we know that international B2B wholesale requires precise paperwork. To stay compliant with local tax authorities and international transport regulations, you may require specific documentation proving that your goods have been exported or successfully delivered.

Having the correct export and transit documents is crucial because it allows you to apply for VAT exemptions. This effectively lowers your prices on the platform, making your offers more competitive and driving more sales!

It is in our best interest to ensure you have exactly what you need. Here is how we handle supporting documentation.

Documents We Provide

Depending on your location and where your goods are being shipped, our Success team can provide the following documents:

  • Proof of Delivery (POD): Official confirmation from the carrier that your shipment was successfully delivered to the buyer (Available for EU and UK shipments).
  • Customs & Export Documentation: For shipments crossing customs borders (such as into or out of the UK). This includes Standard Administrative Documents (SAD) and Export Accompanying Documents (EAD).
  • Intracommunity Transport Declarations: Required for cross-border shipments within the European Union.
  • Country-Specific Requirements: We understand that certain local authorities have unique requirements. For example, we routinely provide MRN documents for Italian sellers and Export DUAs for Spanish sellers.

How and When You Receive Your Documents

To save you time and keep your inbox clean, we process supporting documents in bulk on a monthly schedule.

  1. Monthly Delivery: By the 15th of every month, you will receive an email from our team containing all the finalized documents for your shipments from the previous month.
  2. Organized for Accounting: The documents will be securely attached as ZIP folders, separated by document type (e.g., one folder for PODs, one for Customs Docs).
  3. Easy Matching: Every document is explicitly linked to its corresponding Qogita Order Number, making reconciliation easy for your finance team.

Note: Depending on the carrier, some customs documents can occasionally face delays. If we are still waiting on specific carrier paperwork by the 15th, we will proactively email you to let you know it is being chased!

How to Request Documents

We don't send bulk paperwork unless you need it! If your accounting or logistics team requires any of the documents listed above, please reach out to us at success@qogita.com.
