Packaging Requirements

These requirements apply to all shipments sent through the Qogita network. Following them ensures your orders are delivered safely, on time, and without risk of return.

1. Packing Principles

These principles apply to every shipment and set the baseline for how all Qogita orders must be packed.

  • Fewer boxes are better. Consolidate products into as few boxes as possible without exceeding weight limits.
  • No empty space. Fill all gaps to prevent product movement and box collapse.
  • Maximum 30kg per box. Shipments above this limit must be split into multiple boxes.
  • Do not ship in factory boxes. Factory boxes are often unsuitable for parcel transport. Only use them when protected with an additional outer box or master carton.
  • Use compliant boxes. All boxes must be corrugated, double-walled, unbranded, and recyclable.

Following these principles ensures shipments are efficient, compliant, and competitive on Qogita - maximizing your sales.

2. Box Requirements

All products must be shipped in boxes that meet Qogita’s standards.

  • Boxes must be corrugated and at least double-walled
  • Boxes must be unbranded and free of company logos or markings
  • Boxes must be new and undamaged
  • No box may exceed 30kg — boxes above this limit must be split

3. Preparing Shipments

3.1. Parcel shipments

 ✅ Do

  • Ship in as few parcels as possible
  • Pack products upright and tightly
  • Wrap fragile items (glass, pumps, liquids) individually
  • Protect products in cellophane to avoid scratches or tears
  • Fill all gaps with suitable filling material

 ❌ Don’t

  • Exceed 30kg per box
  • Leave empty space inside boxes
  • Pack products loosely

💡 To validate packaging quality, Qogita may perform a 90 cm (hip-height) drop test on select shipments. All boxes must be able to pass this test.

Step 1 - Prepare the Box

  • Choose the appropriate box size.
  • Cover the bottom and walls of the box with protective material.

Step 2 - Place the Products

  • Products must be organized upright, grouped by type or brand.
  • Products must be tightly packed to prevent movement during transit.
  • Loose items should be packed into smaller boxes.
  • Fragile items (e.g., glass, pumps, liquids) must be wrapped individually.
  • Products in cellophane must be protected to avoid scratches or tears on the outer packaging.
  • All gaps should be filled with suitable filling material to ensure contents cannot move (refer to Section 3.3).

Step 3 - Documentation

  • Do not include priced invoices or branding material inside the boxes

Liquids not individually wrapped and no dividers: leaks weakened the box and caused it to collapse in transit.

Collapsed box: insufficient tape and wrong box size left empty space, causing the box to cave in.

No wrapping and no dividers: loose tubes and pumps increase the risk of leaks and breakage in transit.

3.2 Filling Materials

The bottom and walls of the box should be covered with packaging material. The type of packaging material should be chosen based on the fragility of the products, using approved materials such as bubble wrap, rolled foam, or foam sheets.

Bubble wrap
Wrap the product on all sides with 3–4 layers of bubble wrap.
Rolled foam
Fold and wrap 3–4 layers of foam securely around the product.
Thick foam sheets (≥1 cm / 0.4 in)
Cut sheets to fit the bottom and sides of the box for cushioning.
Foam peanuts
Fill the box completely to the top, ensuring no empty space between peanuts.
Cardboard filling
Pack cardboard pieces tightly to the top of the box, leaving no gaps.
Air bags
Place air bags above and within gaps, ensuring they are fully inflated and not likely to be pierced during transit.

3.3. Pallet Shipments

Requirements

  • Use Euro pallets (120 × 80 cm).
  • Each pallet must meet at least one of the following minimums:
    • Option 1: Dimensions of 120 cm (Length) x 80 cm (Width) x Minimum 120 cm (Height)
    • Option 2: Dimensions of 120 cm (Length) x 80 cm (Width) x Minimum 150 kg (Weight)
  • Heavier boxes should be placed at the base of the pallet. These boxes must have adequate internal filling to avoid collapsing.
  • Secure the pallet with black stretch/shrink wrap so boxes cannot shift in transit.
  • Each individual box on the pallet must not exceed 30 kg.
  • Boxes should be stacked within the edges of the pallets (no overhanging boxes).

3.4. Labelling and Stickers

3.4.1. Shipping Label Requirements

  • Each box must have one shipping label.
  • Each pallet must have one shipping label, placed on the outside of the stretch wrap.

3.4.2. Liquids

  • Ensure the package contains “This Side Up/ Orientation arrows”.
  • The marking must be visible on two opposite sides of the box.

4. Dangerous Goods (ADR Limited Quantities) packaging

Qogita ships Dangerous Goods under the ADR Limited Quantity (LQ) classification by road freight only. The most common Dangerous Goods products are perfumes and aerosols.

4.1 Declaring Dangerous Goods in the Seller Portal

⚠️ Important: If you mark a shipment as containing dangerous goods in the portal but do not physically mark the box, it will be returned at your cost.

You must indicate when a shipment contains Dangerous Goods Limited Quantities (DG LQ) in the Seller Portal and put it in the correct packaging. This allows Qogita to correctly declare the shipment as containing DG LQ to the carrier.

Examples of DG products: Perfumes, Aerosols.

How to Declare in the Portal

  1. Go to Step 2: Create Shipping Label – Ship with Qogita
  2. Under Dangerous Goods Declaration, select Yes

4.2 Box Requirements

  • Maximum weight per box is 30kg — above this, the shipment is no longer classified as Limited Quantity
  • Boxes must be new and undamaged
  • Use double-layer shipping boxes for enhanced protection and regulatory compliance

❌ Do not re-use boxes with DG markings for shipments that do not contain DG. Even if the markings have been covered with tape, the shipment will be delayed or returned.

4.3 Labeling Requirements

Each box containing LQ DG must have both: (1) Orientation Arrows ("This Side Up") and (2) a Dangerous Goods (LQ) Label sticker.

4.3.1 Size

The LQ marking must be at least 10×10cm with a 2mm black border.

4.3.2 Marking Type

The marking must be a sticker, not printed paper. Printed paper markings will be rejected because they can get torn in transit or damaged by rain.

4.3.3 Condition

Markings must be unobstructed and undamaged. Packages with tape covering DG markings will be rejected.

4.3.4 Orientation

The marking must be oriented as a diamond with the black portions at the top and bottom. Do not orient it as a square.

4.3.5 Marking Type — ADR Only

The Ship with Qogita service only uses road freight, it does not use air freight. Do NOT use IATA (air freight) markings

4.3.6 Background Contrast

The LQ marking cannot be applied directly onto black wrapping. The borders must contrast with the background, Limited Quantities marking should be visible.

4.3.7 Documentation Requirements

  • The DGN is required by carriers when transit includes a ferry operation — it is necessary documentation for multi-modal transport.
  • When prompted by the Qogita Supplier Portal, sign and attach 3 copies of the Dangerous Goods Notes (DGN) to the box in a sealed pouch on the outside.
  • When shipping multiple boxes under one Airwaybill, attach DGNs to one box only.

4.3.8 Pallet Requirements

When multiple boxes are grouped together and wrapped for collection on a pallet, the outer wrapping must contain all three of the following:

  • ADR LQ DG Marking The black and white diamond marking must be clearly visible on the outer pallet wrapping.
  • Orientation Arrows Orientation arrows ("This Side Up") must be present on the pallet wrapping.
  • "OVERPACK" Label The word "OVERPACK" must be printed in letters at least 12cm in height.
